If you've still got a couple Q's after reading the below, send us an email at support@cheersy.com.
The terms event planner and wedding coordinator are often used interchangeably, so let's break down the difference.
A day-of coordinator is a professional who steps in 4–6 weeks out from your event to take over logistics, coordinate with vendors, and execute the event day-of – allowing you to relax and be a guest at your own celebration.
| ✅ Your coordinator does | ❌ Your coordinator does NOT |
|---|---|
Step in 4-6 weeks before your event to take the reins. You’ll meet 3 times before your event, including a final site visit, so everything is mapped out & ready to go day-of. | Plan your event start to finish. Sourcing vendors, creating a budget, and sending invites is the role of a full service event planner, someone who works with you for months or even years! |
Offer expert advice and quick answers Once you kick things off, your coordinator is just an email away for all your questions and calming reassurance. | Act as your 24/7 planning hotline You’ll get thoughtful help during the coordination process, but for more support, follow us on Instagram and TikTok for bite-sized planning tips, real wedding inspo, and behind-the-scenes advice from our team. |
Handle the logistics From timeline creation to vendor communication, your coordinator will ensure everything runs like clockwork. | Design your event. Your coordinator will execute your vision seamlessly, but for custom design or floor plans, a designer, a florist or your venue is your best bet. (Psst - Prismm.com is a great free tool!) |
Set and style personal items Welcome sign, guest book, escort cards, and more? Your coordinator will set and style decor to your vision - and make sure it gets back safely to you or a trusted VIP at the end of the night. | Build and assemble decor Everything should come pre-assembled so your coordinator can focus on running the show, not folding 500 paper cranes. |
Run your event day-of – so you don’t have to Think: cueing a ceremony, accepting deliveries, guiding vendors & guests, and putting out 100 behind-the-scenes fires you’ll never know even happened. Your coordinator will have it all covered so you can just enjoy the party! | Do the job of other vendors Your coordinator is there to ensure all vendors are on top of their job, not do it for them. Your coordinator should not be:
This takes them away from their real job: handling the logistics. |
If you don't have a planner, you need a coordinator - you shouldn't have to cue the big moments yourself.
